POSITION
The SIF Grants Manager will have a whole-organization understanding of SIF’s funding sources, including budgets, expenditures, key deliverables, and funder restrictions. They will support the Finance Team by monitoring each program’s utilization of grant funds and by comparing those expenditures with the organization’s financial reports. Additionally, they will oversee the due diligence process for outgoing sub-grants to ensure compliance and financial integrity, as well as manage administrative tasks related to board approval and the accounts payable process for grant payments.
CORE RESPONSIBILITIES
In partnership with the Finance Team, the Grants Manager liaises with program leads to support the management of their budgets while working with the Development Team and the Finance Team to build proposal budgets that meet the organization’s needs.
SIF Grant Budget Management: 35%
You will work with organization stakeholders to manage, monitor, and support the development of grant budgets across all SIF programs. Through ownership of an organization-wide Financial Dashboard, you will have a high-level view of how the organization’s funds are allocated by funding source and program. You will collaborate with the Director of Finance and Program Directors for regular reviews of the progress of each program and grant budget.
Due Diligence & Sub-Grant Processing: 15%
You will conduct due diligence for processing outgoing sub-grants, ensuring compliance with funder requirements and internal policies. This includes assessing financial and operational risk, collecting necessary documentation from sub-grantees, and ensuring timely disbursement of funds.
Grant Budget Development & Reporting: 20%
Through your reviews and high-level understanding of the organization’s budgets and expenditure of grant funds, you will support the Development and Finance Team in building grant budgets that are responsive to the organization’s needs. In partnership with the Development Team and Program Directors, you will also support the creation of grant reports that communicate SIF’s work to its funders, with particular attention to financial reporting requirements. Your accurate and timely financial reports will go hand in hand with program narratives to uphold SIF’s reputation as a good steward of funds.
Financial Reviews & Accounts Payable Support: 10%
In close collaboration with the Finance Team, you will manage periodic reviews of grant expenditures by program. Through your careful monitoring, you will support the validation of the organization’s monthly and quarterly financial statements. You will also support the Director of Finance in periodic reviews of financial projections. Additionally, you will assist in processing grant- related payments by ensuring all approvals and financial documentation are in place for timely disbursement.
Board Approval & Administrative Oversight: 10%
You will coordinate and manage the administrative processes necessary for securing board approval for grants, including preparing required documentation and ensuring compliance with governance procedures. Your role will ensure that all necessary approvals are obtained before grant funds are disbursed.
Whole Organization Initiatives: 10%
You will contribute to organization-wide initiatives, including process improvements, cross- department collaboration, and strategic projects that enhance SIF’s financial and operational effectiveness.
COMPETENCIES, EXPERIENCE, AND MINDSET
- 2-5 years of experience with financial and donor reporting, grant management, and compliance; experience managing restricted grants strongly preferred.
- Compliance experience with international grants is a plus.
- Strong detail orientation, emphasizing precision and accuracy.
- Ability to synthesize multiple points of data to understand the bigger picture: your ability to understand both the whole-organization budget while being able to quickly review and report on individual grant and program budgets means that you are in tune with the whole organization’s fiscal health.
- Strong technical writing skills: you understand the status of grant and program budgets, and you can write narratives that combine the programming and financial factors driving financial reports.
- Fluency in GSuite or Excel: you understand how to troubleshoot, improve, and build spreadsheets that ease your work and the organization’s.
- Fluency in Spanish.
